The world of archiving would be a much happier place if vendors told their customers the whole truth when talking about their solutions. What follows are conversations drawn from real world situations that tell the story behind what archiving vendors say.
Customer Asks:
"I heard that single instancing is really important for lowering storage costs. Do you do that?"
Vendor Says:
"Absolutely. BigCo is one of the largest most well-regarded software firms in the world. BigCo has been doing single instance storage since the beginning. If you send the same email out to multiple people, BigCo's Archiving Solution only saves one copy..."
Vendor Doesn't Say:
"... but we only do that when the data is in the same vault, coming from the same group... and only when the data is being captured in the same way and from the same application.
Mails from different vaults will be saved as multiple copies. If the same mail is captured through journaling and mailbox archiving, we'll save two copies of that as well. And if an email is being used for archiving and discovery and compliance, we'll save a copy for each of those applications also. So yes, we do SIS, except in those cases.
Ultimately, because of all the overhead we add in the number of databases, file format, and lack of SIS, you are usually storing at least three times more than you should."
ZL Says:
No matter where it comes from, what it is used for, how it is stored, or who stores it, ZL keeps one and only one copy of every mail and file within its archive. ZL customers pay the least in storage.
And even though ZL always maintains comprehensive metadata and pointers of each instance of data, so that retention policies and legal holds can always be appropriately applied and honored for legal and compliance purposes, only one complete copy of the data is ever needed and stored."
